VFS Service Charge:

In addition to the visa fee, a service charge of INR 936/- applies for each visa application. This fee includes GST (SGST @ 9% and CGST @ 9%) and must be paid online when booking the appointment.

  • First, you need to figure out which visa you need and check if you can apply for it.
  • Also, learn about the papers you need to send with your application, how long it might take, and the fees.
  • Every application must follow the rules for your visa type.
  • If your papers are not in English, you might need translations before you apply.

  • When you're prepared to apply, just download the visa form, fill it out, print it, and take it along with the necessary documents to the Visa Application Centre to submit.

  • After you've completed your visa form, you must schedule an appointment to get your fingerprints and photo taken at a Visa Application Centre. This process is called 'biometric information.'
  • Once you've set up the appointment, you'll get an email confirming the appointment details and an appointment letter.
  • If you're applying as a family or group, each member needs to book a separate appointment.

  • After you've submitted your application, you'll need to pay the visa application fee. If you've downloaded the form and are bringing it to the Visa Application Centre, you can pay the fee during your appointment.
  • You'll make the visa fee payment at the Visa Application Centre.

  • You'll receive an email when your decision is at the Visa Application Centre. If you can't access email easily, you might get SMS updates. Check if this service is available at your Centre.
  • You can also track your visa application online. Use the Reference Number from your invoice/receipt and your last name to access it.

  • Once your visa decision is ready, you can get your passport back at the Visa Application Centre or have it sent to you by courier for an extra charge.
  • If you're picking up your passport in person, bring the Centre's receipt and a government ID. If allowed, you can send someone with a letter from you, the receipt, and their ID.

DOCUMENT CHECKLIST

When applying for a student visa (National Visa) to Poland from India, you will generally need to provide a comprehensive set of documents to support your application. The following checklist covers the most common documents needed:

  1. Passport Requirements:
    • Make sure your passport was issued within the last 10 years.
    • Your passport should be valid for at least 3 months after you plan to leave the Schengen area.
    • Your passport must have at least two empty pages.
  2. Visa Application:
    • Fill out the visa application form completely without leaving any blanks.
    • Sign the form twice. If you’re 18 or older, sign it with the same signature as in your passport.
  3. Passport Photos:
    • Provide two recent color passport photos.
    • Photos should be 35mm x 45mm in size, with a white background, and taken no more than 6 months ago.
  4. Acceptance Letter:
    • Admission acceptance letter from a recognized Polish educational institution.
  5. Covering Letter:
    • Write a letter explaining your travel purpose, duration, and list of documents attached.
  6. Purpose of Trip Documents:
    • Submit your original admission or continuation certificate from the educational institution.
    • Show proof of payment for studies or tuition-free confirmation.
    • Include documents verifying your previous education.
  7. Flight Itinerary:
    • Show your return flight reservation with travel dates.
  8. Travel Medical Insurance (TMI):
    • Give a copy of the TMI certificate from an approved insurance company.
    • Make sure the insured name is written in the Latin alphabet.
    • TMI must cover your entire stay in the Schengen area and meet minimum coverage of 30,000 euros.
    • Include insurance company name, number, and validity dates.
  9. Accommodation:
    • Provide original proof of suitable accommodation availability in Poland, with monthly fees.
  10. Financial Means Proof:
    • Show you have funds to cover living costs, accommodation, and return travel.
    • Use acceptable documents like traveler’s cheques, credit card limit, bank statements, scholarship confirmation, or sponsor’s letter.
    • If sponsored, the sponsor must cover all your expenses.
  11. Minors:
    • Get travel permission from absent parent(s)/guardian(s), legalized/attested/apostilled by MEA/MFA.
    • If a parent has sole custody, provide relevant legal proof legalized/attested/apostilled by MEA/MFA.
    • At least one parent/guardian must be present during the visa application.
    • Include identification copies of the parent(s)/guardians with custody/guardianship.
    • If applicable, provide birth certificate and proof of legal guardianship, legalized/attested/apostilled by MEA/MFA.
  12. Optional Documents:
    • You can add extra documents to explain your trip, such as English language test results (e.g., IELTS, TOEFL, CAE) to show language skills for English-based studies.
  13. Passport Copies:
    • Include a copy of the first and last pages of your passport.
    • If you had previous Polish/Schengen visas, include copies of those pages too.
